ALLinONEemployment.com is hiring an Office Manager to Enter invoices and payments in QuickBooks and to Manage Office and Vendor relations.
o Input all incoming invoices from suppliers, pay them when due and archive.
o Send A/R reports to customers weekly in order to collect payments for due invoices.
o Receive and process credit card payments
o Manage and processes of all documents related to Letters of Credit, presented by clients in order to receive payments within maturity dates.
OFFICE MANAGING AND IMPLETMENTING OFFICE POLICIES
o Management/Representative for the ISO 9001-2015 Quality Management System
o Maintaining office correspondence
o Ensuring adequate office and kitchen supplies in the office.
o Maintaining confidentiality of sensitive data.
o Taking care of the Health/Dental/Vision Insurance for the company
RECRUITMENT AND TRAINING OVERSEEING ENTIRE SELECTION TO NEW CANDIDATES
o In charge of recruiting and interviewing new employees.
o Orientation procedures, to make new employees well versed with the office policies, procedures and equipment
ASSIST SENIOR MANAGEMENT
o Participating in meetings conducted by the management about the organization’s policies and the steps it plans to take for its strategic development.
o Coordinate Management Reviews Meetings for Internal and External Audits (ISO)
GENERAL ADMINISTRATIVE DUTIES
o Data Entry
o Maintain Permanent files
o Manage the application processes to become a Provider
o Type routine correspondence
o Enter invoices and payments in QuickBooks
o Answer telephone calls and route to the appropriate staff member
o Other duties as assignee by immediate supervisor and senior management
o Keep office licenses up to date
o Maintaining filing systems of invoices and other important correspondence and documents
